Ai for real estate teams
Your team doesn’t drop work. The handoffs do.
Between the counselor and the lender. The inbox and the CRM. Friday afternoon and Monday morning. I find where your team’s work leaks, then build the Ai your people will actually use to close it.
01 · Pick your team
Same method. Your workflows.
Choose the closest match. Everything below changes to fit that team.
02 · Where it leaks
100 in.
The leak
An example, not a client file
One month of work moving through an example team, stage by stage. Watch where it stops.
03 · What changes
Three fixes, ranked by what they win back.
Not twenty ideas. The three I would build first for this team, in order. Tap any number to see the math behind it.
04 · Watch it work
One file. Four people. Nobody re-asks.
Your people keep working the way they work. The Ai carries the context between them, drafts the next message and waits for a person to approve it.
See it running on real systems
Illustration: a team channel for one closing file, where a sales counselor, a loan officer, a title closer, a transaction coordinator and three Ai helpers hand off context, and every client message is approved by a person.
Illustrative. Names, files and dates are invented. In real builds, a person approves every message a client sees.
05 · How it runs
I see the work before I touch it.
Remote, about two weeks, and nobody has to stop working for it.

Day 1
Book, then brief me
Book the Team Audit at checkout, then a few minutes at the desk below: your team, the software you run, and what’s slow. I read it myself and reply within 48 hours. No sales call first.
-
Week 1
I watch the real work
One person doing the work and one person managing it record their screen for a normal day, plus a short call each for what never touches a screen. Sensitive fields get blurred, or we use sample records.
-
Week 2
The plan, in writing
A consult on what I saw, then the written plan: workflows, tools, IT approvals, order and effort. That is the Team Audit, $2,500, credited in full toward a Team Day booked within 30 days.

You choose what happens next
- Every step names the tool, the setup and who owns it
- Your team builds on its own schedule
- Come back for any piece later
One block is one trigger, one path of up to six steps, one place the result lands, and one person who signs off. Scoped from your plan, agreed in writing before I start, running when I hand it over.
Think of a block as one thing that changes in your work for good. Most fall into one of three kinds.
One repetitive task, removed from your week permanently.
The taskChasing showing feedback and writing the seller’s weekly update.
“Twelve showings this week. Three buyers mentioned the afternoon light in the kitchen. Two asked about the HOA, so I’ve attached the fee history. One is writing an offer this weekend. Next week I’d like to talk about the back fence.”
Ask any assistant for this and you get a template. Built on your records, your clients and your voice, it runs every week without anyone remembering to. That is the part I build, test and stand behind.
Example output. Your audit picks your blocks from your own work.
“Capture every open house visitor, thank them, send them to my buyers, keep in touch.” Is that one block?
- Block 1
Capture. A visitor signs in. Their name, interest and your notes land in your CRM, tagged to the open house.
- Block 2
Thank you. A personal thank you from your notes, plus two follow ups, each approved by you before it sends.
- Block 3
Match. When you hold the next open house, the right buyers in your CRM get a note about it.
Three blocks, $6,500. The social post starts from a different moment, so it is its own block. Staying in touch for months is an ongoing program, scoped on its own. I tell you which is which before we start.
- Built in your systems, inside your IT approvals, so nobody switches tools to use it
- If your plan shows a tool can’t do the job, the block includes setting up the one tool that can
- Recording plus a one-page summary your manager can hand to a new hire
- Thirty days of fixes and failure alerts included
- Use within 30 days. The Team Audit ($2,500) plus one block ($2,500) is the smallest way to start
What the 30 days cover, and after
Covered
Anything I built that stops doing what we signed off on, in your setup as it was at handoff. I keep a snapshot of that setup at sign-off, so we both know what changed.
Not covered
Changes on your side: CRM fields, pipelines or permissions, access that is revoked or expires, edited steps or wording, an outage at one of your vendors, and new requests. Those are quoted, or become a new block.
Failure alerts
While the 30 days run, I am alerted when a workflow fails. Alerts carry the failure only, never your client records.
- $250 / month
Alerts. Failure alerts continue, plus one hour of fixes a month.
- $750 / month
Alerts and care. Failure alerts, a monthly health check, and two hours of fixes or adjustments.
Alerts are best effort, with no guaranteed response time.
Moving your whole team onto a new setup is a Team Day, not a block.

- Your CRM or core system connected once IT signs off
- Two weeks of build and a 30-day check-in
Multiple offices or divisions? Architecture across every location, train-the-trainer and a quarterly refresh, from $25,000.
Rather hand me the whole operation? As a fractional operator I run it from my systems. Teams and brokerages are quoted on a call.
Not sure which fits? Tell the desk and I’ll recommend one.
What leaders ask first
What tools do you set us up on?
I’m model-agnostic. I’ve tested the major Ai models and setups, and the ones I choose for you depend on your budget, what your IT allows, and what your team can keep building on. I connect to the systems you already run and streamline them, rather than adding another tool for everyone to learn.
Is the screen recording safe to run on client files?
It records what’s on screen, so we agree on it with IT first. Sensitive fields get blurred, or the capture runs on sample records. You see every recording before I do anything with it.
Are the numbers on this page real?
They are samples, labeled as samples, with the math shown. They exist so you can see how I think about a team. Your audit replaces every one with numbers from your own records.
Will you run our customer service or marketing?
No. Strategy, brand and compliance stay with your team. I set up the tools that carry them out faster and in your voice, and a person approves every message before a client sees it.
What are the terms?
If it’s a fit, we start with a 20-minute scoping call, then a written proposal. The Team Audit is paid up front. For a Team Day, a 50% deposit holds the date and the balance is due on the day. Travel outside South Florida and the Treasure Coast is quoted with the proposal.
Working on your own?
The individual Ai Audit is $1,500 and built for one person’s business.
06 · Start the conversation
Tell me about your team.
Not an application. A short conversation about your team, the software you run, and what’s slow. Type it or say it.
- The deskA few minutes, one question at a time
- A written replyI read every conversation and reply within 48 hours. Audits book straight from checkout, no sales call first
- Proposal + payment linkAfter your audit: blocks, days and retainers, scope and price in writing. Work starts once it’s paid
Company email only. Your details stay on this device for next time, and I read every conversation myself.
What this is, and isn’t
- Education and hands-on implementation help. Not legal, tax, accounting or compliance advice; for those, ask your attorney, accountant or broker.
- Results vary. Figures on this page illustrate the method unless a source is cited beside them.
- You own your decisions and anything you publish or send. A person on your side reviews Ai output before it reaches a client.
- You stay responsible for your brokerage’s policies, MLS rules, state licensing rules, Fair Housing law and the terms of the platforms you use.
- Nothing here creates a brokerage or agency relationship. That only starts with a signed written agreement.
